Overview

The Virtual Clinic Office Coordinator is a remote position responsible for coordinating a remote team of clients/patients through virtual office software. Typical duties include verifying, creating, and maintaining patient records, customer service, processing emails, ensure billing accuracy, and overall management of the daily schedule and operations of each client/patient.

Responsibilities

  • Welcome patients and visitors by greeting them virtually through a video kiosk or on the telephone.
  • Receive and track referrals/inquiries on an Excel spreadsheet.
  • Understand and manage various types of insurance benefits.
  • Verify insurances and obtain authorizations from insurance companies.
  • Create and maintain patient charts in the EMR system.
  • Schedule patient appointments.
  • Register patients, checking them in and out.
  • Collect copays at the time of each appointment and follow procedures for co-payment deposits.
  • Perform credit card transactions.
  • Enforce the No Show/Cancellation policy.
  • Maintain patient account balances.
  • Maintain confidentiality and handle sensitive information with discretion.
  • File, fax, and scan documents.
  • Complete billing and payroll data entry.
  • Maintain and develop relationships with referral sources.
  • Support marketing and brand awareness efforts as needed.

Perform other duties as assigned

Qualifications

  • Associates degree with a business emphasis required. Significant, directly related medical office experience may be considered in place of a degree.
  • BA or BS in business, healthcare, or other related fields is preferred.
  • Prior work experience in a healthcare or call center environment preferred.
  • Strong interpersonal and customer service skills preferred.

  • Ability to multitask and manage complex computer applications.
  • Minimum of two years of front and back medical office work experience.
  • Professional attitude, appearance, strong customer service skills, and good judgment.
  • Proficiency in advanced computer software (Microsoft Office) and data entry skills.
  • Excellent organizational, customer service, and oral/written communication skills.
  • Dedicated workspace with internet for remote work.
  • Working ability to utilize Microsoft Office, including Outlook, Word, Excel, Teams, and PowerPoint.

Physical Demands:

Individual must have the ability to stand and work or have mobility through mechanical assistance.

Must be able to lift and carry items weighing up to 25 pounds.

Must be able to communicate fluently both verbally and in writing.

Primarily sedentary which requires stooping, bending, hearing, and vision in order to operate phone, computer and facsimile.
